1. Who we are

Wildlife & Yoga is a trading name of Real Good Collective Ltd, a company registered in Scotland (company number [insert]), with its registered office at 16–18 Weir Street, Falkirk FK1 1RA. We are the data controller for the personal information described in this notice. We are registered with the UK Information Commissioner's Office under registration reference ZC213003. 2. What information we collect

Depending on how you interact with us, we may collect:

Identity and contact details — your name, date of birth, nationality, email address, telephone number and postal address.
Passport and travel document details — passport number, issue and expiry dates and a copy of the photo page, where required to book flights, accommodation or permits.
Health information — injuries, medical conditions, surgeries, medications, allergies, dietary requirements and pregnancy, which you provide in our pre-arrival guest form.
Emergency contact details — the name, relationship and telephone number of the person you nominate.
Insurance details — your insurer, policy number and emergency assistance telephone number.
Payment information — we take card payments through Stripe. Stripe processes your card details directly, and we do not receive or store your full card number.
Correspondence — emails, messages and inquiry forms you send us.
Photographs and video — images taken during a retreat, where you have consented to this.
Website and device information — see section 6 on cookies.

3. Why we use it, and our legal basis

4. Health information

Health information receives additional protection in law. We collect it only so that we can assess whether an activity is safe for you, brief your guides and facilitators appropriately, cater for dietary needs, and act quickly in an emergency. We collect it on the basis of your explicit consent, given when you complete our pre-arrival guest form. You may withdraw that consent at any time by contacting us, although we may then be unable to offer you a place on a retreat where we cannot assess your safety. We share health information only with those who need it — typically your facilitators, your guide, your camp or lodge, and, in an emergency, medical personnel.

5. Who we share it with

Camps, lodges and accommodation providers.
Ground handlers and destination management companies.
Air charter operators, where flights form part of your itinerary.
National park and conservation authorities, where they require guest details to issue permits.
Our retreat team — facilitators, guides and staff travelling with you.
Service providers who help us run the business, including Squarespace (website), Stripe (payments), Typeform (forms), Notion (records) and Flodesk (email).
Professional advisers, insurers and regulators, where we are required or permitted to share information.

6. Cookies and similar technologies

Our website uses cookies — small files stored on your device.

Essential cookies keep the site working: they remember what is in your basket, keep your session secure, and record your cookie preferences. These do not require your consent and cannot be switched off.

Analytics cookies help us understand how people find and use the site — which pages are read, how long visitors stay, and where they arrived from. We use these only if you accept them.

Marketing cookies, where used, allow us and our partners to show you relevant advertising and to measure whether it worked. We use these only if you accept them.

When you first visit, you will see a banner asking which of these you are happy with. You can change your mind at any time through the cookie settings link in the website footer, or by clearing cookies in your browser.

Declining analytics and marketing cookies will not stop you using any part of the site.

7. Sending information outside the UK

Running retreats abroad necessarily involves transferring your information outside the United Kingdom — to the countries you are traveling to, and to service providers based elsewhere, including the United States. Where we do this, we rely on appropriate safeguards recognized under UK data protection law, such as the UK International Data Transfer Agreement or Addendum, or on the necessity of the transfer for the performance of your contract with us.

8. How long we keep it

Booking and payment records: seven years, to meet accounting and tax requirements.
Health information: for the duration of your retreat and for 12 months afterwards, then deleted, unless we need to retain it in connection with a claim.
Passport copies: deleted once permits and travel arrangements are confirmed and completed.
Marketing contacts: until you unsubscribe or ask us to remove you.
Photographs and video: until you withdraw consent, or until we stop using the material.
Website analytics: as configured in our analytics tools, and no longer than 26 months.

9. Your rights

You have the right to ask us to give you a copy of the information we hold about you; correct it if it is wrong; delete it; restrict how we use it; provide it in a portable format; or stop using it where we rely on legitimate interests. Where we rely on your consent, you can withdraw it at any time, and doing so does not affect anything we did before you withdrew it.

To exercise any of these rights, email us at contact@wildlifeandyoga.com. We will respond within one month. If you are unhappy with how we have handled your information, you can complain to the UK Information Commissioner’s Office at ico.org.uk, or to the data protection authority in your own country. If you are resident in the United States, depending on your state you may have additional rights, including the right to know what personal information we have collected, to request its deletion, and to opt out of its sale or sharing. We do not sell or share your personal information for advertising purposes. You can exercise these rights using the same email address above, and we will not treat you differently for doing so.

10. Children

Our retreats are for adults only and our website is not directed at children. We do not knowingly collect information about anyone under 18.

11. Keeping it secure

We use access-controlled systems, encrypted connections and reputable service providers, and we limit access to your information to those who need it to do their job. No system is completely secure, but we take reasonable steps to protect what you give us.

12. Changes to this notice

We may update this notice from time to time. The current version is always available at this page, and the date at the top shows when it last changed.
